Scope of Service

AIO Fileflow grants the User a non-exclusive, revocable license to use our document and image management tools for personal or professional use, subject to the specific limitations of your chosen plan (Free or Premium).

1. Use of Our Service

1.1 General Terms

This section outlines the terms governing your use of the AIO Fileflow website, mobile applications, and integrated software services. By accessing or utilizing AIO Fileflow, you signify that you have read, understood, and agree to be bound by this Terms and Conditions Agreement ("Agreement"), regardless of whether you are a registered account holder or a guest user.

Prohibited Activities: You shall not use AIO Fileflow for any unlawful activity. This includes, but is not limited to:

Generating or distributing SPAM or malicious content.

Uploading content that provides instructions for illegal acts.

Attempting to circumvent our security measures or "hacking" our servers.

Data Privacy: You are prohibited from gathering, processing, or storing personal data of other Users or third parties via our Service without full compliance with applicable data protection laws.

Brand Integrity: You agree not to use the AIO Fileflow brand, logo, or assets for any malicious or unauthorized commercial purposes.

1.3 Conflict of Terms

In the event of any inconsistency between these Terms and Conditions and our Privacy Policy, these Terms and Conditions shall take precedence regarding the use of the Service.

1.4 Enforcement

We value our community and work hard to provide a reliable tool. However, failure to comply with these obligations constitutes a material breach of contract and may result in the immediate suspension or termination of your access to the Service, as detailed in Clause 9.

1.2 Service Rules & Reasonable Use Policy

To ensure a high-quality experience for all users and to maintain the stability of our infrastructure, your use of AIO Fileflow (including our Web, Mobile, and Desktop applications) is subject to this Reasonable Use Policy.

We strive for fairness; however, any activity that places an undue burden on our systems or exploits the Service is strictly prohibited. The following actions are not permitted:

Automated Data Extraction: You may not use any automated or non-automated scraping processes—including bots, scrapers, crawlers, or spiders—to interact with AIO Fileflow or its Desktop App.

Non-Human Processing Speed: You are prohibited from converting, editing, or manipulating documents at a volume or frequency that exceeds what a human can reasonably achieve through manual use on a conventional device.

Credential Sharing: Your account is for your use only. You may not provide your password to any third party, nor may you use another individual's credentials to access the Service.

System Abuse: You must not use the Service in a manner that exceeds legitimate personal or business requirements.

Usage Monitoring: To maintain service integrity, AIO Fileflow reserves the right to investigate any account that registers more than 1,000 tasks per month. This investigation is to ensure compliance with our standard usage limits.

Enforcement

If AIO Fileflow, at its sole discretion, determines that your usage patterns violate this policy or compromise our system's performance, we reserve the right to:

2. User Accounts

2.1 General Account Provisions

Your AIO Fileflow account provides access to the specialized tools and features that we develop, maintain, and update at our sole discretion. To accommodate different needs, we offer various account tiers. Each tier carries specific permissions regarding file size limits, the number of files processed per task, and concurrent processing capabilities.

Our current user tiers include:

Guest (Not Registered): Basic access with standard limitations.

Registered: Free account with enhanced limits and task history.

Premium: Full access to professional features, maximum files sizes, and priority processing.

2.2 Account Security & Responsibility

You are exclusively responsible for all activity that occurs under your account. To maintain the integrity of your data, you must:

Maintain a strong, unique password.

Prevent unauthorized third-party access to your credentials.

Notify us immediately if you suspect any security breach.

AIO Fileflow cannot and will not be liable for any loss or damage arising from your failure to comply with these security obligations.

2.3 Modification or Discontinuation of Service

AIO Fileflow reserves the right to modify, suspend, or discontinue any part of the Service, either temporarily or permanently, at our discretion.

Notification: While we strive to support all users, prior notification regarding significant service changes will be provided specifically to Premium Users.

Taxation: All applicable taxes related to the use of the Service or account upgrades will be the responsibility of the User, in accordance with the current regulations of their jurisdiction.

3. Data Privacy & File Retention

3.1 Content Processing and Access

At AIO Fileflow, we prioritize your privacy. We do not open, analyze, or access the content of the files you upload for processing.

Exclusive Access: Access to processed files is strictly limited to the User.

Sharing: If you choose to share a download link with a third party, you do so at your own discretion and responsibility.

Automation: Our systems are designed to automatically purge processed files from our servers after a fixed duration to ensure your data does not linger online.

3.2 File Deletion Schedule

Processed files are automatically and permanently deleted from our servers according to the following schedule:

*Legal Note: To comply with global digital signature regulations, certified signatures and formal signature requests are archived for the duration mandated by applicable law. All other temporary files are wiped from our storage clusters every 120 minutes.

3.3 User Responsibility

The User bears sole responsibility for the content and legality of the files they upload. AIO Fileflow acts as a technical processor only. Once the download link expires and the file is deleted from our servers, it cannot be recovered. We recommend that users save their processed files immediately upon completion.

3.2 Technical Support and Data Security

Support and Troubleshooting

AIO Fileflow provides comprehensive guides and documentation to assist users in document processing. However, it is the User's responsibility to report any technical malfunctions or processing errors via our official support channels. While we strive for 100% uptime, we do not guarantee uninterrupted service.

Infrastructure Security

We take data integrity seriously. To protect your information, AIO Fileflow utilizes:

Restricted Server Access: Physical and digital access to our processing environments is strictly controlled.

Encrypted Transfers: All files are handled via secure SSL/TLS protocols.

Strategic Hosting: Our servers are housed in Tier-certified data centers designed for high security and performance.

Account Management

Users may upgrade their service tier or terminate their account at any time. To request a cancellation or modification of your subscription, please use the Account Dashboard or contact us through our Support Form.

3.3 Content Liability and Copyright

Zero-Access Policy

As a technical service provider, AIO Fileflow does not monitor, preview, or analyze the content of the files processed. Consequently, AIO Fileflow cannot be held liable for:

Misuse of our tools by any user.

Content that violates intellectual property or copyright laws.

The processing of sensitive or prohibited data.

User Indemnification

The User assumes full legal responsibility for the contents of their files. By using the Service, you agree to indemnify and hold AIO Fileflow harmless against any:

Legal penalties or sanctions.

Court-ordered fines.

Claims from third parties regarding copyright infringement or data privacy violations.

Any breach of the rules established in Section 1.1 will result in the immediate termination of the service agreement and potential legal action if AIO Fileflow suffers damages as a result of User non-compliance.

4. Digital Signatures

4.1 How AIO Fileflow Signature Works

The AIO Fileflow Signature tool enables users to sign documents electronically or request signatures from third parties via secure email delivery. All signatories are provided with a secure environment to review the document before applying their electronic signature.

Signatory Definition: A "Signatory" refers to any natural person who creates or applies an electronic signature within our platform.

4.2 Signature Types

AIO Fileflow offers two distinct levels of electronic signatures to suit different legal and security requirements:

Standard Electronic Signature (SES): This involves electronic data associated with a document to identify the signer. While it facilitates digital identification, it is designed for low-risk documents and does not provide an advanced level of forensic security.

Advanced Electronic Signature (AES): This is a high-security signature that meets the following stringent criteria:

Unique Linkage: It is uniquely linked to the specific Signatory.

Identity Verification: It is capable of identifying the Signatory with a high degree of certainty.

Sole Control: It is created using signature data that the Signatory can use under their exclusive control.

Integrity Detection: It is linked to the signed document in such a way that any subsequent alteration of the data is immediately detectable.

4.3 Legal Validity & Audit Trails

To enhance the legal standing of your documents, Requesters can activate the Advanced Signature option, which includes:

Time-Stamping: Application of a certified TimeStamp to verify the exact moment of signing.

Digital Audit Trail: A comprehensive log provided alongside the final document. This includes metadata, IP addresses, and timestamps from both the requester and the signers to ensure total transparency.

4.4 Data Retention for Signed Documents

Standard Signatures: Subject to our 2-hour automatic deletion policy.

Advanced Signatures: To comply with legal procurement and evidence requirements, documents containing Advanced Electronic Signatures are stored securely on our servers for the duration mandated by law or your specific plan settings.

Important Note: Once the signature process is finalized and the document is downloaded, the User holds the sole authority and responsibility for the long-term safeguarding and storage of the signed file.

4.2 Legal Compliance and Guarantees

Regulatory Framework

The digital signature services provided by AIO Fileflow are designed to align with major international standards for electronic transactions. This includes:

EU Regulation 910/2014 (eIDAS): Directly applicable across the European Union for electronic identification and trust services.

U.S. Federal ESIGN Act (2000): Ensuring the legal validity of electronic signatures in global and national commerce.

Uniform Electronic Transactions Act (UETA): Adopted across various U.S. states and jurisdictions.

Information Technology Act (India): Aligning with regional digital signature requirements where applicable.

User Responsibility & Jurisdiction

While AIO Fileflow strives to meet global compliance standards, electronic signature laws vary significantly by jurisdiction and the specific nature of the document being signed (e.g., real estate deeds or wills may have different requirements).

It is the User's sole responsibility to:

Confirm that the AIO Fileflow Signature service is suitable for their specific legal purpose.

Ensure compliance with the local laws of the country or region where the signature takes place.

Verify if the specific document type is legally permitted to be signed electronically in their jurisdiction.

Evidentiary Support

In the case of Advanced Electronic Signatures, AIO Fileflow generates and maintains high-fidelity evidence to support the validity of the transaction, including:

Detailed Audit Trails: Comprehensive logs of user actions.

Secure Timestamps: Cryptographically certain records of the time of signing.

Metadata & Biometric Tracing: Technical data captured during the signing process to assist in legal proceedings.

Legal Cooperation and Limitation of Liability

AIO Fileflow will cooperate with legal authorities and provide signed documents or audit trails if required by a court of law, provided such information is still within our retention period.

However, AIO Fileflow disclaims all liability regarding the ultimate legal admissibility of any signed document. We offer the technical platform only and exempt ourselves from any legal consequences should a court find a specific document or signature insufficient for its intended legal purpose.

4.3 Pricing and Signature Allocations

1. Signature Service Tiers

Standard Electronic Signatures (SES): Provided as a core feature of the AIO Fileflow platform. These are generally available for high-volume use, subject to the "Fair Use" and processing limits associated with your specific account type.

Advanced Electronic Signatures (AES): Due to the high-security infrastructure, digital certification, and audit trails required, these services are treated as premium units.

2. Subscription Allocations

If you are an AIO Fileflow Premium subscriber, your account is credited with a fixed number of Advanced Electronic Signatures each month at no additional cost.

Monthly Reset: These included signatures reset at the beginning of each billing cycle and do not roll over to the next month unless otherwise specified in your plan.

Usage Tracking: You can monitor your remaining signature balance in real-time via your Account Dashboard.

3. Prepaid Signature Packs

For users who require more than their monthly allocation, or for non-subscribers with high-volume one-time needs, we offer Prepaid Signature Packs.

Stackable Credits: Signatures purchased in packs are "stacked" on top of your existing subscription credits. Our system will prioritize using your monthly subscription allowance before drawing from your purchased packs.

No Expiration: Unlike monthly subscription credits, prepaid packs typically remain valid for a period of [e.g., 12 months] from the date of purchase, providing maximum flexibility for your business cycles.

4. Processing Limitations

All signatures services—whether free, included in a subscription, or purchased via a pack—are subject to technical limitations regarding:

File Size: Maximum MB per document.

Batch Quantity: Maximum number of signatories per request. Refer to our [Detailed Pricing Page] for the specific limits currently applicable to each tier.

4.4 Data Collection and Audit Transparency

Transparency of the Signature Process

To ensure the integrity, non-repudiation, and legal validity of the signature process, AIO Fileflow generates a detailed Audit Trail. For full transparency, the following information may be collected and made visible to all parties involved in the transaction (Requesters, Signers, and Validators):

Identity Details: Full names and email addresses of the requester, signer, validator, and any witnesses.

Verification Data: Phone numbers used for multi-factor authentication (SMS code validation).

Document Metadata: The specific names and sizes of the file(s) being processed.

Technical Identifiers: IP addresses of all parties involved at the time of access and signing.

Signature Biometrics: Technical data captured during the application of the signature (such as stroke speed, pressure, or drawing rhythm) to ensure the signature is uniquely linked to the individual.

User Responsibility for Legal Eligibility

The AIO Fileflow "Sign PDF" tool is provided as a technical solution for electronic documentation. It is important to note:

No Legal Determination: AIO Fileflow is not responsible for, nor liable for, determining if a specific legal requirement in your jurisdiction permits the use of an eSignature.

Compliance Check: Before using the tool, you must confirm that an electronic signature is legally sufficient for the specific document you are processing (e.g., some regions require physical signatures for deeds, wills, or certain power of attorney documents).

By using the Sign PDF tool, you acknowledge that you have reviewed these requirements and assume full responsibility for the legal standing of the signed documents.

5. Subscription and Billing Policies

5.1 Premium Membership

Access to AIO Fileflow's professional features, increased processing limits, and advanced tools is available exclusively through our Premium Subscription. Your subscription period begins the moment your initial payment is successfully processed.

5.2 Recurring Billing Authorization

By subscribing to a paid plan, you authorize AIO Fileflow to charge your designated payment method on a recurring basis (monthly or annually, as selected) until the subscription is formally canceled.

Continuous Service: Unless otherwise stated, your billing authorization remains in effect indefinitely.

Billing Cycle: You will be billed on the same calendar day each period, corresponding to your initial acquisition date.

5.3 Price Protection & Adjustments

We reserve the right to adjust our subscription rates to reflect new features or market changes.

Grandfathered Rates: As a commitment to our early adopters, existing Premium users will continue to be billed at their original "acquisition rate" for as long as their subscription remains active and uninterrupted, even if our public pricing increases.

Notification: Should we need to adjust rates for existing subscribers, you will receive written notice at least 30 days prior to the change taking effect.

5.4 Cancellation and Termination

You have the right to cancel your AIO Fileflow subscription at any time via your Account Settings.

Effective Date: Cancellation will take effect at the end of your current, already-paid billing cycle. You will retain full access to Premium features until that time.

Non-Refundable Policy: We do not provide prorated refunds or credits for the remaining days of a billing cycle once the period has begun.

5.5 Trial Periods and Forfeiture

If AIO Fileflow offers a free "Premium Trial," it is intended to allow you to evaluate our tools.

Single Use: Trials are limited to one per user/account.

Forfeiture: If you choose to purchase a full subscription before your trial period expires, any remaining unused trial days will be forfeited immediately.

5.6 Refund Policy

Refunds are issued at the sole discretion of AIO Fileflow and are typically reserved for documented technical failures that prevented the use of the Service.

Case-by-Case: If a refund or credit is issued, it does not establish an obligation for AIO Fileflow to provide similar refunds or credits in the future.

Request Process: All refund inquiries must be submitted through our official bizdev@therawyal.com within 7 days of the disputed charge.

6. Disclaimer of Warranties

6.1 "As Is" and "As Available" Service

AIO FILEFLOW IS PROVIDED ON AN "AS IS" AND "AS AVAILABLE" BASIS. TO THE MAXIMUM EXTENT PERMITTED BY APPLICABLE LAW, THE SERVICE IS PROVIDED WITHOUT WARRANTIES OF ANY KIND, WHETHER EXPRESS OR IMPLIED, INCLUDING, BUT NOT LIMITED TO, IMPLIED WARRANTIES OF MERCHANTABILITY, FITNESS FOR A PARTICULAR PURPOSE, OR NON-INFRINGEMENT.

6.2 No Performance Guarantees

While we strive for excellence, AIO Fileflow (and its parent company, Rawyal) does not warrant or guarantee that:

The Service will meet your specific requirements or expectations.

The Service will be uninterrupted, timely, secure, or free from errors or defects.

Any technical errors or bugs in the software will be corrected.

The Service or the servers that make it available are free of viruses or other harmful components.

The results obtained from the use of the Service (such as converted files or signatures) will be accurate or reliable.

6.3 User Risk and Responsibility

Any content downloaded or otherwise obtained through the use of AIO Fileflow is accessed at your own discretion and risk. You are solely responsible for:

Any damage to your computer system, mobile device, or hardware.

Any loss of data that results from such downloads or your use of our tools.

Ensuring your files are backed up, as AIO Fileflow is a processing tool and not a permanent storage solution.

6.4 Third-Party Disclaimer

AIO Fileflow may provide links to third-party websites or services for your convenience. We do not warrant, endorse, guarantee, or assume responsibility for any product or service advertised or offered by a third party through our platform. AIO Fileflow will not be a party to, or in any way monitor, any transaction between you and third-party providers of products or services.

7. Limitation of Liability

7.1 General Limitation

To the maximum extent permitted by applicable law, in no event shall AIO Fileflow, its parent company (Rawyal), its affiliates, directors, or employees be liable for any:

Indirect, Punitive, or Incidental Damages: Including but not limited to loss of profits, goodwill, or use.

Consequential or Exemplary Damages: Arising from or relating to the use of, or inability to use, the Service.

Intangible Losses: Any damages resulting from a breach of this Agreement, even if AIO Fileflow has been advised of the possibility of such damages.

7.2 Security and Unauthorized Access

Under no circumstances will AIO Fileflow be responsible for any damage, loss, or injury resulting from:

Cybersecurity Breaches: Including hacking, tampering, or other unauthorized access to our systems or your account.

Data Compromise: The loss or unauthorized use of any information or files contained within your account due to external malicious actors.

User Negligence: Any security failure resulting from the User's failure to protect their login credentials.

7.3 Maximum Aggregate Liability

Notwithstanding anything to the contrary contained herein, the total aggregate liability of AIO Fileflow for any claim arising out of or in connection with this Agreement—whether in contract, tort, or otherwise—shall be limited to:

The total amount paid by the User to AIO Fileflow during the three (3) months immediately preceding the event giving rise to the claim; or

2.

The sum of $50.00 USD (or equivalent in local currency), whichever is greater.

7.4 Service Misuse

We expressly disclaim all liability for damages resulting from the misuse of our services, including the processing of sensitive, confidential, or legally restricted data that violates the rules established in Section 1.1.

8. Intellectual Property and Limited Use License

8.1 Ownership of Rights

AIO Fileflow (and its parent entity, Rawyal) is the sole and exclusive owner of all intellectual property rights associated with the Service. This includes, but is not limited to:

The Software: The web application, mobile apps, and desktop tools.

Functional Rights: The right to total or partial reproduction, adaptation, arrangement, or transformation of the underlying code.

Brand Assets: All logos, designs, trademarks, and user interface elements.

Distribution: The exclusive right to publish and distribute the Service through any media, digital or analog.

8.2 Limited License to Use

By agreeing to these Terms, AIO Fileflow grants you a limited, non-exclusive, non-transferable, and revocable license to access and use our software solely for its intended purpose: document and image processing.

Scope: This license does not transfer any ownership of Intellectual Property to the User.

Restrictions: You are strictly authorized to use the software "as provided" through our interface. Any exploitation of the Service beyond the scope of this Agreement requires express written authorization from AIO Fileflow.

8.3 Prohibited Acts

To protect the significant effort invested in building this platform, the following acts are strictly prohibited:

Reverse Engineering: You may not attempt to extract, decompile, translate, or reverse-engineer the source code of our tools.

Unauthorized Reproduction: Making copies of the program, its design, or its logic for distribution or commercial use is forbidden.

Derivative Works: You may not alter, transform, or build upon our software to create competing products.

Public Communication: Using our proprietary technology for unauthorized public display or performance.

8.4 Enforcement of IP Rights

Any breach of these Intellectual Property obligations constitutes a material breach of contract. AIO Fileflow reserves the right to:

Immediate Termination: Permanently close your account as per Clause 9.

Service Suspension: Block access from your IP address or organization.

3.

Legal Action: Pursue damages and injunctive relief under relevant copyright and intellectual property laws in your jurisdiction.

9. Intellectual and Industrial Property Rights

9.1 Ownership and Copyright

The entirety of the AIO Fileflow platform—including its software, source code, databases, interface designs, logos, graphics, and text—is the exclusive property of AIO Fileflow (owned by Rawyal) or its licensors.

General Prohibition: Any unauthorized reproduction, transformation, distribution, or public communication of our materials for commercial or non-commercial purposes is strictly prohibited.

Liability Disclaimer: As specified in Section 7, we disclaim all liability for any consequential damages arising from the use or misuse of our proprietary tools or materials.

9.2 Trademarks

AIO Fileflow is a registered trademark. You are prohibited from using our brand name, logo, or any confusingly similar identifiers to represent your own products or services.

9.3 Promotional Use of User Trademarks

We are proud to serve professional organizations. If you use AIO Fileflow on behalf of a company or legal entity:

Identification of Client: You grant AIO Fileflow a non-exclusive, royalty-free, worldwide license to use and display your company's name, trademarks, and logos ("User Trademarks") for promotional purposes.

Marketing Channels: This includes featuring your logo in our "Our Clients" section, public client lists, marketing presentations, and press releases to indicate that you are a user of our Service.

Duration: This license remains active for as long as you maintain an account (Free or Premium) with AIO Fileflow.

Opt-Out: If your organization's policy prohibits the use of your logo in our marketing, you may request an exemption by contacting us at bizdev@therawyal.com

10. Termination and Suspension

10.1 Termination by AIO Fileflow

AIO Fileflow reserves the right to unilaterally suspend your access or terminate this Agreement at any time, without prior notice, under the following circumstances:

Breach of Contract: If you violate any of the obligations, rules of conduct, or guarantees established in this Agreement.

Rights Infringement: If your use of the Service infringes upon the intellectual property rights of AIO Fileflow or any third party.

Payment Default: If you fail to make timely payments for your Premium subscription or prepaid signature packs.

Legal Compliance: If we are required to do so by a governmental authority or a change in law (e.g., if providing services in your specific region becomes restricted).

Service Discontinuation: If AIO Fileflow elects to discontinue the Service, in whole or in part, due to technical impracticality, regional censorship, or strategic business shifts.

10.2 Effects of Termination

The termination of this Agreement does not waive the right of AIO Fileflow to seek compensation for damages, losses, or unpaid fees incurred prior to the termination.

Data Removal: Upon termination, your account data and any stored files will be permanently deleted in accordance with our data retention policy.

No Liability: AIO Fileflow shall not be liable to you or any third party for the termination of your access to the Service.

10.3 Termination by the User

You are free to stop using our services at any time.

Effective Date: As noted in Section 5, subscription cancellations will take effect at the conclusion of your current billing cycle.

11. Claims and Communication

11.1 General Inquiries

At AIO Fileflow, we value user feedback and aim to resolve issues quickly. If you have any claims, complaints, or require information regarding our Service, please contact us via our bizdev@therawyal.com. We aim to acknowledge all formal complaints within 72 Hours.

12. Miscellaneous Provisions

12.1 Assignment of Rights

You may not cede, subrogate, or transfer your rights or obligations under this Agreement to any third party without the express prior written consent of AIO Fileflow. Any attempt to do so without our consent will be considered null and void.

12.2 No Waiver

A failure or delay by AIO Fileflow to exercise any right or enforce any obligation under this Contract does not constitute a waiver of that right. We remain entitled to exercise our rights at a later date or in response to subsequent breaches.

12.3 Severability

If any provision of this Contract is found to be invalid, illegal, or unenforceable by a court of competent jurisdiction, that specific provision shall be limited or eliminated to the minimum extent necessary. The remainder of this Agreement shall continue in full force and effect.

12.4 Entire Agreement

These Terms and Conditions, along with our Privacy Policy (incorporated here by reference), constitute the final, complete, and exclusive agreement between you and AIO Fileflow regarding the use of our software. This Agreement supersedes all prior negotiations, representations, or agreements, whether written or oral.

13. Governing Law and Jurisdiction

13.1 Applicable Legislation

This Contract is commercial in nature and shall be governed by and construed in accordance with the laws of India.

13.2 Dispute Resolution & Jurisdiction

We always prefer to resolve disagreements through friendly professional dialogue. However, if a formal dispute arises regarding the validity, interpretation, or execution of this Agreement:

Informal Resolution: Both parties agree to attempt to resolve the dispute through good-faith negotiations for a period of at least 30 days.

Exclusive Jurisdiction: In the event that a resolution cannot be reached, both parties expressly waive any other jurisdiction and submit themselves to the exclusive jurisdiction of the judges and courts located in Jaipur, Rajasthan, India.
